7 steps for a successful event.

1 Clarify the framwork

  1. Decide what type of event you are organising: conference, lecture, workshop, seminar, ceremony, webinar,or something else.
  2. Set the date and time.
  3. Choose the venue and digital platform.
  4. Allocate resources (personnel and budget) for planning and execution.

3 Consider recording and streaming

Make sure the room you book at UiT has the Panopto video program installed. Panopto allows for video recording, editing, and sharing.

4 Submit procurement requests

Before purchasing items such as food, gifts, decorations, or similar, submit a procurement request via the finance and procurement work support pages.

5 Consider registration

Decide if attendees need to register, for example, if the venue has limited capacity or if you want to know how many people will attend.

6 Choose a visual style

Think through how the event should be presented visually, so that it appears professional and recognizable across channels.

7 Promote internally and externally

1. Create a Tavla event

Publish your event on en.uit.no/tavla to make it known among empolyees and students.

2. Advertise on the information screens

You can request a notice here.

3. Create a Facebook event

If the event is open to an external audience, create a Facebook event. Reuse the text from Tavla and invite UiT The Arctic University of Norway as a co-host.

4. Tip the media

Send an email to one or more journalists and newsrooms.

Start the email with a compelling subject line, then briefly explain why the media should cover this particular event. Feel free to highlight a special item from the program – and remember to include a contact person and mobile number.

5. Share content on social media

Feel free to share photos and video from the event in various social media channels and tag UiT.
