7. Offer / Work Contract

Once the Appointment Board has approved an appointment, the Recruitment Services will follow up the  process in collaboration with the unit in question. 

The Recruitment Services is responsible for:

  • preparing offers and ensuring that the approval authority at the unit signs the offer
  • sending the offer to the candidate
  • maintaining dialogue with the unit if clarifications are required
  • coordinating any salary negotiations
  • following up candidates from countries outside the EU/EEA in the application regarding residence; residence permit must be documented before the work contract
  • preparing the employment contract and ensuring that the approval authority at the unit provides a signature sending the employment contract to the candidate, and ensuring that the candidate signs the contract
  • creating a personnel file for the candidate, and archiving the application with attachments and the signed workcontract
  • informing the other applicants that the position has been filled.

The unit is responsible for:

  • clarifying salary offers with the faculty administration (if not done at the time of nomination)
  • clarifying the possibility of new salary offers or change in conditions if the candidate requests a pay demand or other requirements
  • answering questions from candidates in connection with the evaluation of offers
  • clarifying the start date when the candidate has accepted an offer. We encourage the unit to contact the candidate for this clarification and to answer any other questions that the candidate might have
  • informing the Recruitment Services as soon as possible about the clarifications made
  • welcoming the employee and ensuring that the office, keys and accesses are ready.

We encourage the unit to inform candidates who have been interviewed about the status of the process up until the point a candidate accepts an offer, especially if the process is taking longer than expected.
